Actions are the tasks that Qualified performs when a workflow is triggered. These actions can modify data, integrate with external systems, or notify your team. Available actions are grouped into three main categories: General, Integrations, and Notifications.
Note: Not all actions are compatible with every trigger or trigger timing (immediate vs. after conversation ends).
General actions
Set a value on a visitor field
Not compatible with Email triggers
Assign a specific value to a Qualified visitor field. Use prefill variables, picklist options, or preset values depending on the field type.
Track event
Not compatible with “after conversation ends” triggers or Email triggers
Send an event to Google Analytics and any website conversation event listeners.
Integrations
Integrate seamlessly with external platforms like Salesforce or HubSpot to sync key visitor and conversation data.
Push to an external system
Not compatible with Email triggers
Create or update records in Salesforce or a Marketing Automation Platform (MAP). Select the following options when choosing this action:
- Destination: The system to push data into (Salesforce or a MAP).
- Create Lead: If toggled on, a new lead will be created if one does not exist with a matching email in the destination. If toggled off, no new leads will be created from this action.
- Update existing record: If toggled on, mapped fields on existing records will be updated. If toggled off, only new leads will be created; existing records will not be created
Add to a Salesforce campaign
Compatible with all triggers
Add a visitor record to a Salesforce campaign. Select the campaign to add the visitor to, and any additional fields (i.e. Campaign Member Status) that should be updated, along with their values. As a best practice, use after a "Push to an external system” action to ensure that a lead record has been created and is up-to-date before adding it to a campaign.
Pro Tip: You can also use this action to update an existing campaign member’s status; re-adding them to a campaign they’re already in won’t cause duplicates, but can cause their status to update appropriately.
Create a Salesforce task
Compatible with all triggers
Generate a Salesforce task associated to Leads or Contacts affected by the workflow. Choose the task fields and their values to set using static text or dynamic visitor field values.
Create a Salesforce Event
Compatible with all triggers
Log a Salesforce event with customized data.
Qualified sends several Salesforce Events by default - these do not need to be configured as workflows. Read more here.
Create a HubSpot timeline event
Compatible with all triggers - additional functionality for Conversations triggers
Record conversation details as a timeline event in HubSpot. Configure the Header and Details of the event, and, if the trigger is a conversation trigger, choose whether to include the chat transcript as part of the timeline events.
Create a HubSpot meeting activity
Compatible with the Meeting booked trigger only
Log Qualified-booked meetings in HubSpot. Set a title and description in the workflow; the meeting activity will automatically include the date, time, and participants.
Notifications
Keep your team informed of key visitor or workflow events.
Send a Slack alert
Compatible with all triggers
Notify specific Slack users or channels. Customize the subject and (optionally) body of the message. If the body is left blank, by default it will contain all known visitor details.
Send a Microsoft Teams alert
Compatible with all triggers
Send a message to a team. Customize the subject and (optionally) body of the message. If the body is left blank, by default it will contain all known visitor details.
Send an email
Compatible with all triggers
Email specified recipients or Salesforce users. Recipient selections will vary based on trigger, but can include static emails, meeting attendees, and more. Customize the subject and body of the email. If the checkbox is selected, all visitor fields will be included in the body of the email.
Send an app alert
Send an alert to Qualified users in-platform. This will appear as a toast message to recipients who are logged in to Qualified, subject to their notifications settings.
Important: Ensure your Salesforce, MAP, Slack, or Teams integrations are connected before using related actions.
